A Post Con Meeting, or a post conference meeting, is an opportunity to meet, again, with all department managers and talk though everything that went well, such as great reviews about the food, an AV tech team that was easy to work with, and overall good comments from management and guests. Or, perhaps, you may need to address what did not go well; food was cold, service was slow, areas that needed to be cleaned better, meeting rooms freezing cold or too hot, not enough staff to take care of everyone.

This is your best opportunity to go through the Banquet Event Orders and Guest Room Pick Up Reports to compare your notes and charges to the what the hotel has recorded. Once you’re back at the office, and time has passed, it’s almost impossible to remember how many guests attended a function or how many rooms your guests occupied each evening. It’s not unusual, and quite common, that hotels’ figures don’t always match up to what you have kept track of during the meeting, so there is no better time than before departure to review financial reports before the final bill is sent to you.

In an ideal world, everything went according to plan, and the meeting was a success for a variety of reasons. At the Post Con Meeting, you can commend certain staff members for outstanding service, share your experiences that made your event so great, and provide monetary gifts to particular team members who went above and beyond in taking care of you and your attendees.

If, there were glitches in service, or anything left you bewildered or dismayed, the Post Con Meeting is your opportunity to ask for refunds and discounts on anything and everything that didn’t go according to plan. Yes, hotels are accustomed to providing refunds or discounts when things go awry. Don’t be shy about asking for compensation if there were items that fell through the cracks or anything that was planned and not met with your satisfaction.

Your Conference Services Manager is the person who will arrange, in advance of your meeting ending, for the Post Con Meeting, and just like a Pre Con Meeting, you’ll want department managers to attend; all who were involved with your meeting, especially those areas where you need to address service issues or discrepancies in your figures versus what the hotel is charging.

You want to make sure you walk away from the hotel as a happy customer. After all, every hotel’s ultimate wish is that every customer is happy and will return again and tell others about their great experience. With social media on your side, hotels are keen to be sure nothing terrible is written about them. Hotels are in the business of hospitality, so give them a chance to redeem themselves prior to departure.
